Get birthdays into your database

Every birthday is a reason to reach out that isn't "just checking in." You probably have more of them than you think, scattered in four places:

  • Your phone and Google contacts. Any birthday you've ever saved came through in Step 1.
  • Your CRM and old CRMs. Any birthday ever entered came through in Bonus 1.
  • Your calendar. Every "Jane's birthday" event you've ever added.
  • Facebook. Facebook won't export your friends' birthdays, but it will show them to you.

Grab them from your calendar

Turn on the Google Calendar connector (Gmail users) or the Microsoft 365 connector (Outlook users) first.

Calendar birthdays prompt
You have access to my calendar. I'm uploading my Master Contacts.csv. Search the next 12 months for birthday events: anything with "birthday," "bday," or "b-day" in the title, plus Google's Birthdays calendar if I have one.

For each one, record the person's name and the birthday (month and day). Skip ages and years.

Match each name to my Master Contacts.csv and fill in the Birthday column. Flag anyone you can't match, anyone who shares a name with another contact, and any birthday that doesn't match what's already on file.

Give me the updated Master Contacts.csv and a list of calendar birthdays for people who aren't in my contacts.

Grab them from Facebook

  1. In Facebook, search "Birthdays" or open the menu and go to Events, then Birthdays.
  2. Scroll through upcoming birthdays and screenshot every screen until you've covered a full year.
  3. Need one specific person? Their profile shows it under About, then Contact and basic info.

Only friends who share their birthday will show up. That's fine. Every one you get counts.

Facebook birthdays prompt
I'm uploading screenshots of my Facebook birthdays list and my Master Contacts.csv.

1. Read every name and birthday (month and day) from the screenshots. Skip ages and years.
2. Match each name to my Master Contacts.csv by first and last name. If two contacts share a name, or a couple shares contact info, flag it instead of guessing.
3. Fill in the Birthday column for every match. If a contact already has a birthday and Facebook shows a different one, flag it.
4. Give me a second list: people with a birthday on Facebook who aren't in my contacts at all.

Only ask me about matches you genuinely can't decide on, as one short list at the end.

Give me the updated Master Contacts.csv and the "Not in my database" list.

The "Not in my database" list is warm. These people already know you. Add the ones who belong in your sphere to Master Contacts.csv. Every birthday goes into your CRM in Step 5.

Up next, Step 5: export for your CRM.
