Draft the hard emails. Upset seller? Lowball offer? Passive-aggressive co-op agent? Drop the context into Claude or ChatGPT and let it write the first draft. Your name's on it — always review — but the heavy lifting is done.
Use AI smart replies. Set up ChatGPT's reply tool and get multiple response options generated for you. Pick the best one, tweak it, send it.

Email Habits That Save Hours Every Week
AI aside, there were several quick wins covered that any agent can implement today:
Fix your subject lines. Stop sending emails with vague subjects. Include the property address in every transaction email — "Home Inspection — 123 Main Street" — so you can find anything in seconds later.
Use advanced search. Don't just search by name. Add date parameters like "after January 2025" to narrow results fast.
Turn on Undo Send. In Gmail settings, set the recall window to 30 seconds. It's the safety net you didn't know you needed.
Schedule Send everything. Sending emails at 10 p.m. isn't hustle — it's unprofessional and invites late-night back-and-forth. Write it now, send it at 8 a.m.
Snooze emails. Use the clock icon to hide a conversation until a specific date and time when you're actually ready to deal with it.
Create a "To Read" folder. Auto-drop newsletters and non-urgent emails into this folder so your inbox stays clean and you can batch-read when you have time.
Use quick templates. Both Gmail and Outlook have built-in template tools for common responses like open house follow-ups. Stop digging through old sent emails looking for something you've already written. But keep the template section for short snippets only — it doesn't have a search function.

AI for Your Calendar: Morning Briefs, Time Audits & Batch Scheduling
This is where things got powerful. By connecting Claude to your calendar, you unlock a level of scheduling automation that replaces a lot of what you'd need an assistant for.
Morning briefs. Ask Claude for a rundown of your day — who you're meeting, where, and a prep checklist for each appointment. One example showed a detailed Monday schedule with 62 steps, possession dates, timed events, batch work, team appointments, a flagged time overlap, and even an RSVP reminder.
30-day time audits. If you log your activities consistently, Claude can analyze an entire month of your calendar and tell you where your time is actually going — and where to reallocate toward income-producing activities.
Batch-schedule follow-ups. Had a showing day? Tell Claude to schedule follow-up calls for each buyer and lender. It populates the calendar directly — no sticky notes, no forgetting.
Find openings. Need to book a one-on-one? Ask Claude to scan your calendar and surface available slots.
Build showing tours. Give Claude a list of addresses and it creates an optimized route with drive times — before you've even started booking. Unlike tools that map tours after the fact, this lets you schedule appointments based on the route.
The key detail: Claude currently has a stronger calendar connection than ChatGPT, so it's the better tool for this specific workflow.
